Standard Rental Rates

Weekday prior to 5pm: $40/hour
Weekday Evening (after 5pm): $65/hour (minimum 2 hours, limited availability)
Weekend: $65/hour (minimum 2 hours)
Weekend Full Day (9am-5pm): $550 (for entire time)

Minimum one months notice to schedule events/ workshops.

Please note that rental does not include any of the following services:

Advertising, Social Media, Promotion, etc.
Client Questions - we will forward all client questions to your main contact
Payment Processing
Client Check-In
Post-event Cleaning (option $100 Flat Rate cleaning fee)

Damage Deposit

A Damage deposit of $75 is required to secure booking.

Room must be left in original condition:All props, including bolsters, yoga mats, blocks, straps, etc, must be put back into their correct place. Any tables and chairs used must be put away in original location.

If rental space is left in original condition, the Damage Deposit will be refunded back to the Organizer.

*If rental space is not left in original condition, the Organizer forfeits the Damage Deposit*

Usage Rules for Seminar Rooms at Wellness Within

The utilization of Seminar Rooms at Wellness Within is subject to the following regulations, which Meeting Organizations must adhere to as a prerequisite for usage. Non-compliance may result in the revocation of room privileges.

Room Setup: The standard arrangement for yoga rooms entails no chairs or tables. Should the Meeting Organization desire an alternative room configuration, an additional fee may apply. The Meeting Organization is responsible for restoring the room to its original condition, including returning tables and chairs to their pre-event arrangement and proper disposal of trash and recyclables within the room.

Area Restriction: Meeting activities for all participants are restricted to the rented area, washrooms, and any specially designated catering setup areas mentioned in the special requirements section. The hallway may not be used for setting up meeting materials, and participants should refrain from congregating there. It is the Meeting Organization's responsibility to communicate these restrictions to its participants.

Signage: Each Meeting Organization may place signage in the reception area to indicate the location, date, and time of their meeting.

Food and Beverages: Food and non-alcoholic beverages are permitted. Meeting Organizations must acknowledge receipt of their catering orders and can request assistance with setup and cleanup.

Office Items: The use of phones, desks, or other items in the offices of Wellness Within staff and its sub-tenants is strictly prohibited.

Designated Contact: Wellness Within requests that each Meeting Organization appoint a designated contact person responsible for all communications and transactions during the rental period. This person must be present on-site throughout the rental period.

Damages and Fees: Wellness Within reserves the right to assess fees for any damage to the meeting facility or its equipment or if it is not returned to its original condition.

Financial Matters: Any outstanding invoices or checks returned due to insufficient funds will be subject to a $25 processing fee and 10% monthly interest.

Confirmation and Cancellation Policies

Once the completed application and security deposit are received, Wellness Within staff will confirm the reservation in writing via email. The deposit is non-refundable. Cancellation requests for reserved meeting space must be submitted in writing with sufficient notice. Adequate notice is defined as ten (10) business days for all room reservations. Failure to provide adequate notice will result in the full amount being due, and an invoice will be sent to the Meeting Organization. Exceptional Circumstances

Act of God: In the event of a cancellation due to an Act of God, such as extreme weather conditions (e.g., hurricane, flood, snowstorm, earthquake), the Meeting Organization will receive a full refund.

Force Majeure: Neither party shall be liable for damages or have the right to terminate this Agreement in cases of delay or default caused by conditions beyond their control. This includes government restrictions, wars, terrorist acts, insurrections, and any other uncontrollable factors. If the Meeting Organization's event is impacted by a force majeure event, no refunds will be issued for payments already received. However, Wellness Within will make reasonable efforts to reschedule the event, subject to availability, and additional fees may apply.

Building Closures/Delays: Wellness Within follows federal government guidance reported by local news stations. If federal government offices are closed, the Institute will be closed as well. The Institute also adheres to federal government guidance for inclement weather, including delayed opening times and early closing times.

In cases where a conflict of interest arises between the services provided by the renter and the principles of our yoga studio, we may choose not to proceed with the room rental agreement.
